Canva Sharing

Canva lets multiple people view, comment on, or edit the same design without emailing files back and forth. Sharing settings control exactly what each collaborator can do once they open the file. This topic covers permission levels, invites, comments, and version history.

The email field and permission dropdown sit together near the top. The link-sharing toggle sits underneath, letting you switch between private invites and open access.

Opening the Share Menu

Clicking the "Share" button in the top right corner of the editor opens a panel with options to invite people by email or generate a shareable link for wider distribution.

A Simple Way to Picture It

Sharing a Canva design resembles handing out different types of keys to a house. One key only opens the front door for a look inside. Another key opens every room but locks the tool shed. A third key unlocks the entire house, including permission to rearrange the furniture. Canva's permission levels work the same way.

Permission Levels

Every collaborator receives one of three permission levels. Choosing the correct level prevents accidental edits to a finished design that someone only meant to review.

Inviting by Email

Typing a collaborator's email address into the invite field and selecting their permission level sends a notification with a direct link to the design. The invited person needs a Canva account to access the shared file.

Sharing a Public Link

Toggling "Anyone with the link" to on, then copying the generated URL, works well for sending a design to someone without asking them to create an account first.

Leaving Comments

Clicking anywhere on the canvas while in comment mode and typing a note attaches that comment to the exact spot selected. Collaborators reply in a thread directly below the original note, keeping the conversation organized.

  1. Click the comment icon in the toolbar
  2. Click a spot on the canvas to place a note
  3. Type feedback and press enter
  4. Collaborators reply or resolve the comment thread

Tracking Changes with Version History

Clicking "File" then "Version History" reveals earlier saved states of a design. This feature restores an older version if a collaborator makes an unwanted change, without losing any other recent progress.

A Practical Walkthrough

A marketing team reviews a new brochure before printing. The manager sets the designer's access to "Can Edit" and the client's access to "Can Comment." The client leaves three notes pointing out a spelling error and two color preferences, and the designer resolves each comment after making the requested changes.
