Building a diagram from individual shapes and connectors takes patience to align correctly. SmartArt instead offers a library of ready-made diagram templates, covering common patterns such as a process flow, a cycle, a hierarchy, or a relationship map. Typing text into a simple outline pane automatically arranges it into the chosen visual pattern, handling alignment and spacing without manual effort.
Inserting A SmartArt Diagram
The Insert tab holds a SmartArt button opening a categorized gallery of layouts. Selecting a category such as Process narrows the choices to diagrams suited for sequential steps, while Hierarchy narrows toward organizational charts showing reporting structure.
Open the Insert tab and select SmartArt.
Choose a category, such as Process, List, or Hierarchy, matching the content's natural shape.
Pick a specific layout within that category from the preview thumbnails.
Type content into the text pane on the left, watching the diagram update automatically on the right.
Common SmartArt Categories
Shows a sequence of steps moving in one direction, suited to an installation guide or a workflow summary.
Displays reporting relationships or nested categories, the standard shape for an organizational chart.
Arranges steps in a circular pattern, suited to a repeating process without a clear beginning or end.

Adding Or Removing Elements
Pressing Enter inside the text pane at the end of a line adds a new shape to the diagram automatically, matching the style of its neighbors. Deleting a line of text removes its matching shape just as cleanly, keeping the whole diagram in sync with the underlying outline at every step.
Customizing Colors And Style
A contextual SmartArt Design tab offers a Change Colors gallery tied to the document's theme, along with a set of 3D and flat style variations. These adjustments apply to every shape in the diagram simultaneously, keeping a consistent look without styling each piece individually.
Converting Existing Text
A plain bulleted list already typed onto the page can convert directly into SmartArt through a right-click option named Convert to SmartArt, saving a learner from retyping content that already exists elsewhere in the document.
Choosing a matching category first, such as Cycle for a repeating process, avoids reformatting content later into a completely different shape.
A SmartArt shape shrinks its font automatically as text grows longer, so short, punchy phrases keep every shape readable at a glance.
Resizing And Repositioning A SmartArt Diagram
A whole SmartArt graphic resizes as a single unit through its outer selection handles, scaling every internal shape and connector proportionally at once. Individual shapes within the diagram can also be resized separately for emphasis, though Word keeps the overall connector layout intact even after such an adjustment.
Reordering Elements Within A Diagram
A small Right to Left button flips the entire diagram's reading direction in one click, useful for content prepared in a right-to-left language. Promote and demote arrows in the text pane similarly shift one item's position within a hierarchy layout without retyping any content.
