Keyboard Shortcuts Word Formatting
Microsoft Word's formatting shortcuts let you apply styles, change fonts, adjust alignment, and structure your document without touching the toolbar ribbon. These shortcuts work in Word for Windows, Word for Mac, and largely in Google Docs as well.
Basic Text Formatting
Ctrl + B → Bold
Ctrl + I → Italic
Ctrl + U → Underline
Ctrl + Shift + W → Underline words only (not spaces)
Ctrl + Shift + D → Double underline
Ctrl + Shift + A → ALL CAPS toggle
Ctrl + Shift + K → Small Caps
Ctrl + Space → Clear all manual character formatting
(returns to default paragraph style)
Heading Styles — Ctrl + Alt + Number
Ctrl + Alt + 1 → Apply Heading 1 style Ctrl + Alt + 2 → Apply Heading 2 style Ctrl + Alt + 3 → Apply Heading 3 style Ctrl + Shift + N → Apply Normal (body text) style DOCUMENT STRUCTURE EXAMPLE: Ctrl+Alt+1 → "Chapter 1: Introduction" (Heading 1) Ctrl+Alt+2 → "1.1 Background" (Heading 2) Ctrl+Alt+3 → "1.1.1 Historical context" (Heading 3) Ctrl+Shift+N → Body paragraph text (Normal style) Using heading styles enables the Navigation Pane and automatic Table of Contents generation.
Paragraph Alignment
Ctrl + L → Align Left (default for most text)
Ctrl + E → Center (headings, titles)
Ctrl + R → Align Right (dates, addresses, captions)
Ctrl + J → Justify (newspaper/book-style — even margins)

Line and Paragraph Spacing
Ctrl + 1 → Single line spacing
Ctrl + 2 → Double line spacing
Ctrl + 5 → 1.5 line spacing
Ctrl + 0 (zero) → Add/remove space before paragraph
(toggles a paragraph break above current para)
Indents and Lists
Ctrl + M → Increase paragraph indent Ctrl + Shift + M → Decrease paragraph indent Ctrl + T → Hanging indent (indent all but first line) Ctrl + Shift + T → Remove hanging indent LISTS: No single shortcut to create lists from scratch — use the ribbon OR type a bullet character: Type "* " + Tab → converts to bullet list Type "1. " + Tab → converts to numbered list Then press Enter to continue the list, Shift + Enter for a new line without a new bullet.
Font Size Adjustments
Ctrl + Shift + P → Open Font Size field in ribbon
(type a size and press Enter)
Ctrl + ] → Increase font size by 1 point
Ctrl + [ → Decrease font size by 1 point
Ctrl + Shift + > → Increase font size by preset jump
Ctrl + Shift + < → Decrease font size by preset jump
Superscript and Subscript
Ctrl + Shift + Plus (+) → Superscript (e.g. x²) Ctrl + Plus (=) → Subscript (e.g. H₂O) Press again to turn off. EXAMPLE: Type "E=mc" Ctrl + Shift + Plus → type "2" → Ctrl + Shift + Plus Result: "E=mc²"
Format Painter — Copy Formatting
Ctrl + Shift + C → Copy formatting from selected text Ctrl + Shift + V → Paste formatting to other selected text USE CASE: One heading looks perfect (bold, 18pt, red). Select it → Ctrl + Shift + C (copy format) Select another heading → Ctrl + Shift + V (paste same format) → Second heading now looks identical to the first.
