Click Insert → Chart. A dialog displays all available chart types in categories. Select a category on the left, choose a specific sub-type from the thumbnails, and click OK. A split-screen view opens: the PowerPoint slide on one side and a small Excel spreadsheet on the other. Type your data directly into the spreadsheet — PowerPoint updates the chart in real time as you enter values.

Entering Data in the Spreadsheet

The mini Excel spreadsheet that opens alongside the chart uses a familiar row-and-column layout. Column headers in row 1 become the data series names (shown in the legend). Row labels in column A become the category axis labels. Enter numbers in the data cells — the chart updates instantly after each entry.

Drag the blue border visible around the data range to include more rows or columns. Delete sample rows you do not need. Close the Excel window when finished — the chart retains all data. Reopen the data sheet at any time by clicking the chart and choosing Chart Design → Edit Data.

The Chart Design Tab

Select the chart to activate the Chart Design tab. The Add Chart Element button adds titles, data labels, gridlines, a legend, error bars, and trendlines. The Quick Layout gallery switches between preset arrangements of these elements. The Chart Styles gallery applies coordinated colour and visual treatments from your theme.

Switch Row/Column

Click Chart Design → Switch Row/Column to transpose which data becomes series versus categories. If your chart shows four bars per year when you intended four series per product category, this single click corrects the orientation without re-entering data.

Formatting Chart Elements

Double-click any chart element — a bar, a data label, the plot area background, the legend — to open the Format task pane on the right side. This pane provides granular controls specific to the selected element: fill colour, border, transparency, shadow, and for data series, gap width between bars or explosion distance for pie slices.

Data Labels

Data labels display the exact value on or beside each data point. Add them via Chart Design → Add Chart Element → Data Labels. Choose placement: Inside End, Outside End, Centre, or Best Fit. Format label text through the data label pane — adjust font size, colour, and number format (currency, percentage, decimal places).

Highlight One Bar

To draw attention to a single bar or slice, click the chart once to select the series, then click the specific bar again to select only that element. Apply a contrasting fill colour just to that bar. This visual accent technique directs the audience's attention to the data point you want to discuss.

Linking Charts to Excel

Instead of typing data into PowerPoint's mini spreadsheet, paste a chart directly from Excel. In Excel, create and format the chart, select it, copy with Ctrl + C, switch to PowerPoint, and click Home → Paste → Paste Special → Microsoft Excel Chart Object. Choose Paste Link — the PowerPoint chart now updates automatically whenever the original Excel file changes. This live connection is invaluable for recurring reports that use refreshed data each period.

Linked File Dependency

A linked chart requires the original Excel file to remain in the same location with the same file name. If the Excel file moves or is renamed, the link breaks and the chart stops updating. Always update links before presenting by clicking File → Info → Edit Links to Files if you have moved source files.
