A PowerPoint theme bundles three design systems into one package: a colour palette, a font pairing, and a set of background and shape effects. When you apply a theme, all three systems update together across every slide in the presentation. This gives your deck an instant professional identity without manual design work.

Applying a Theme

Click the Design tab in the Ribbon. The Themes gallery stretches across the top of the tab — each thumbnail represents a complete theme. Hover over any thumbnail to see a live preview applied instantly to all visible slides. PowerPoint does not commit the change until you click; hovering is safe and free to explore.

Scroll through the gallery or click the dropdown arrow on its right to see the full library. Themes are grouped by Microsoft's built-in collection, themes from Office.com, and any custom themes you have created or downloaded.

Theme Colour Palettes

Every theme includes a 12-colour palette with specific roles assigned to each colour. Two colours serve as backgrounds (light and dark variants), two as text colours, and eight as accent colours used for shapes, charts, and highlights. These 12 colours populate the colour picker in every formatting menu, ensuring all choices stay within the same coordinated set.

Stick to Theme Colours

When picking colours for text, shapes, or highlights, choose from the "Theme Colors" section at the top of any colour picker — not the "Standard Colors" row below it. Theme colours change automatically if you switch themes later; standard colours stay fixed and may clash with a new theme.

Changing Theme Colours

You can replace the colour palette of any theme without changing its fonts or layout effects. Click Design → Variants → Colours (the dropdown arrow beside the Variants panel). A list of named colour sets appears — hover to preview, click to apply. This lets you take a theme you like for its layout and pair it with a colour palette that matches your organisation's brand.

Creating a Custom Colour Palette

When no built-in palette matches your brand, create a custom one. Click Design → Variants → Colours → Customise Colours. A dialog box lets you set each of the 12 colour slots individually. Enter hex colour codes if you know your brand's exact colours — for example, entering #E84D1C sets a specific orange. Name your custom palette and save it; it then appears at the top of the colour list in all future presentations.

Changing Theme Fonts

Click Design → Variants → Fonts to swap the font pairing used across the entire presentation. Each font set pairs a heading font with a body font. Changing this single setting updates every text placeholder simultaneously — no need to reformat slide by slide.

To create a custom font pair, click Customise Fonts at the bottom of the fonts list. Choose any installed font for the heading role and any installed font for the body role, give the pair a name, and save it for reuse across projects.

Applying a Variant

Most themes include several Variants — alternate colour and background combinations within the same layout style. The Variants panel appears to the right of the Themes gallery in the Design tab. Each variant keeps the same shape positions and font choices but swaps the colour palette and background for a different feel. This gives you four or more options from a single theme without starting over.

Theme Changes Affect All Slides

Applying a new theme or colour variant updates every slide in the presentation simultaneously. If you have already applied custom colours to individual elements, those manual overrides remain in place — the theme change does not reset specific objects you have manually coloured.

Saving a Custom Theme

After customising colours, fonts, and effects to match your brand or preferences, save the result as a custom theme. Click Design → Themes dropdown → Save Current Theme. PowerPoint saves the theme as a .thmx file. This file appears in the Themes gallery for all future presentations, so your brand identity is always one click away.

Sharing Themes

A .thmx file can be shared with colleagues so everyone in an organisation uses identical colours and fonts. Place the file in a shared network folder and ask team members to load it via Design → Themes → Browse for Themes. This enforces visual consistency across all company presentations.
