PowerPoint Slide Master

The Slide Master is a hidden template slide that sits above all regular slides in a presentation. Every slide in the deck inherits its formatting from the Slide Master — fonts, colours, background patterns, footer positioning, and logo placement. Editing the Master changes all slides at once; editing an individual slide overrides the Master for that slide only.

Imagine painting the walls of every room in a building simultaneously by changing the paint specification in the architect's blueprint rather than room by room. That is precisely what the Slide Master does for your presentation's visual design.

Opening the Slide Master View

Click View → Slide Master. The editing environment changes visually — the slide panel on the left now shows the Master slide at the top (larger, with a taller thumbnail) followed by all layout slides beneath it. A pink "Slide Master" tab appears in the Ribbon with specific tools for working in this mode.

The Master slide at the top of the panel controls properties inherited by all layouts. Each layout slide below it controls properties that apply to slides using that specific layout. Edit the Master for universal changes; edit individual layouts for layout-specific adjustments.

What to Add to the Slide Master

The most effective use of the Slide Master is placing recurring visual elements that belong on every slide. A company logo in the corner, a footer with the presentation title, a copyright line, a decorative border element — all of these belong in the Master rather than on individual slides.

  1. Open Slide Master View

    Click View → Slide Master. The Master slide shows at the top of the panel.

  2. Click the Master Slide

    Click the large thumbnail at the very top of the left panel — not any of the layout thumbnails below it.

  3. Insert Your Element

    Use Insert → Pictures to add a logo, or Insert → Text Box to add a footer. Position it exactly where you want it to appear on every slide.

  4. Format the Element

    Resize, recolour, and position the element precisely. It will appear in the exact same position on every slide that uses any layout from this Master.

  5. Close Master View

    Click Slide Master → Close Master View in the Ribbon. Return to Normal View and verify every slide now shows your added element.

Editing Placeholder Positions in Layouts

Click any layout thumbnail in the Master View panel to edit that specific layout. Move or resize the title placeholder, content placeholder, or other elements. This changes where these placeholders appear on all slides that use this layout — not globally, only for this layout. Changes here do not affect slides that use different layouts.

Company Template Strategy

Build your organisation's branded template entirely in the Slide Master before creating any content slides. Set the logo position, define the footer, apply the official brand colours via a custom colour palette, and embed the approved fonts. Save as a .potx template file and distribute to the team. Everyone starts from the same foundation.

Multiple Slide Masters

One presentation can contain more than one Slide Master, each with its own set of layouts. This is useful for presentations that cover distinct sections with different visual styles — for example, a training deck where the first section uses a dark professional theme and the second section uses a lighter, friendlier style. Right-click in the Master View panel and choose Insert Slide Master to add a second Master.

Preserve a Slide Master

If you apply a new theme to a presentation that has a customised Master, the theme replaces the Master by default. To prevent this, right-click the Master thumbnail in Slide Master View and choose Preserve Master. A lock icon appears, protecting your custom Master from being overwritten by future theme changes.

Closing and Returning

Always exit Slide Master View through the dedicated Close Master View button in the Slide Master tab — do not just click the View tab and switch to Normal. Forgetting to close properly occasionally leaves the file in an inconsistent state. After closing, review several slides to confirm your Master changes appear correctly across the deck.
