PowerPoint Export & Sharing
Save As stores the file in a format PowerPoint can reopen and edit. Export converts the file into a format optimised for a different purpose — sharing, publishing, printing, or uploading. Many export formats are one-way: exporting to PDF produces a fixed document that cannot be converted back to an editable .pptx automatically.
Access all export options through File → Export or File → Save As with a different file type selected. Both paths lead to the same format options but with slightly different workflows.
Exporting to PDF
Click File → Export → Create PDF/XPS. The dialog lets you choose whether to export all slides, a range, or the current slide. Click Options to access advanced settings: include or exclude speaker notes, add a frame around each slide, set the output for printing or minimum file size for online sharing. PDF export preserves all fonts, colours, and layout exactly as designed — the definitive way to share a presentation when recipients should not edit it.
PDF with Notes
In the PDF Options dialog, set Publish what to Notes pages. Each PDF page shows the slide thumbnail at the top and the speaker notes below — creating a professional printed handout that audiences can follow during or after the presentation.
Exporting as a Video
Click File → Export → Create a Video. Choose the quality: Ultra HD (4K) for high-resolution displays, Full HD (1080p) for standard sharing, HD (720p) for email and mobile. Set Seconds spent on each slide for slides without recorded timings — this determines how long static slides appear in the video before advancing. Click Create Video and wait while PowerPoint renders the MP4 file.
Record your narration using Slide Show → Record Slide Show before exporting to video. The exported MP4 then includes your voice automatically, with each slide advancing at the exact moment you recorded it — creating a standalone video that plays like a professional recorded lecture.
Sharing via OneDrive
Click File → Share → Share with People. If the file is stored on OneDrive, PowerPoint generates a share link. Choose whether recipients can edit or only view. Set an expiry date on the link for time-sensitive content. Recipients open the link in their browser and view or edit the presentation using PowerPoint for the Web — no software installation required on their end.
Packaging a Presentation for Travel
Click File → Export → Package Presentation for CD (the name is legacy — it also works for USB drives and folders). This tool copies the .pptx file, all linked media files, and the PowerPoint Viewer application into one folder. Recipients with no PowerPoint installation can still run the show using the included viewer. All fonts embed automatically during packaging.
Click File → Info → Check for Issues → Check Accessibility. The Accessibility Checker flags images without alt text, slides without titles, and reading order problems that affect screen reader users. Resolving these issues makes your shared presentations usable by people with visual or motor impairments — and is required by accessibility law for many organisations.
