Slack Lists in Slack
Slack Lists is a structured task and project tracking feature built directly inside Slack. Instead of switching to a separate project management tool for simple tracking needs, you create a list of items, assign owners, set due dates, and track status — all without leaving the Slack workspace.
What a Slack List Is
Think of a Slack List as a lightweight spreadsheet or Kanban board that lives inside a channel or DM. Each row in the list is an item (a task, request, idea, or bug). Each column holds information about that item.
SLACK LIST STRUCTURE ┌────────────────────────────────────────────────────────────┐ │ 📋 Q4 Launch Tasks │ ├──────────────────┬────────────────┬───────────┬────────────┤ │ TASK │ ASSIGNED TO │ DUE DATE │ STATUS │ ├──────────────────┼────────────────┼───────────┼────────────┤ │ Finalize copy │ @alice │ Oct 10 │ In review │ │ Design banner │ @bob │ Oct 12 │ Done ✓ │ │ Legal review │ @carol │ Oct 14 │ Not started│ │ QA test staging │ @dave │ Oct 15 │ In progress│ └──────────────────┴────────────────┴───────────┴────────────┘
How to Create a List
- Open any channel or DM.
- Click the + icon in the message input toolbar.
- Select "Create a list".
- Give your list a name.
- Add columns: choose from Text, Person, Date, Status, and more.
- Start adding rows (items).
- Click Share to channel to post it — or keep it as a draft.
Column Types Available
COLUMN TYPE WHAT IT STORES ────────────── ────────────────────────────────────────── Text Notes, descriptions, or free-form details Person Assigned team member (Slack user picker) Date Due date or target date (calendar picker) Status Dropdown with custom options (Done, In Progress, etc.) Checkbox Simple done/not done toggle Number Counts, hours, quantities Emoji A visual tag for quick categorization
Adding and Editing Items
Click "Add item" at the bottom of the list to add a new row. Click any cell in an existing row to edit its contents. Changes save automatically and update for all viewers immediately.
Click a row to open a detail panel on the right side. Here you can add a longer description, attach files, leave comments specific to that item, and view the full activity history for that task.
Assigning Items to Teammates
In the Person column, type a teammate's name or click the people icon. Slack shows a dropdown of workspace members. Select the assignee. The assigned person receives a notification that a list item has been assigned to them.
Filtering and Sorting a List
Use the filter and sort options at the top of the list to focus on specific items:
FILTER EXAMPLE: Show only items assigned to me SORT EXAMPLE: Sort by due date (soonest first) GROUP EXAMPLE: Group by status (Done / In Progress / Not Started)
These views help teams see what needs attention without scanning every row manually.
Views: List vs Board
Slack Lists support two view modes:
LIST VIEW BOARD VIEW (Kanban)
────────────────────────────── ───────────────────────────────────
All items in rows (spreadsheet) Items as cards in status columns
Not Started │ In Progress │ Done
─────────────┼─────────────┼─────────
[Legal Rev.] │[Finalize │[Design
│ copy] │ banner]
Good for detail-heavy tasks Good for workflow stages
Switch between views using the toggle at the top-right corner of the list.
Sharing a List
A list shared in a channel is visible to all channel members. Click Share inside the list editor to send a link to a specific person, channel, or DM. Anyone with access can view and edit the list based on the permissions you set.
Lists vs Canvas: Which to Use
USE A LIST WHEN... USE A CANVAS WHEN... ──────────────────────────── ──────────────────────────────── You are tracking tasks You are writing documentation Items need status, dates, Content is narrative or reference and owners You need to assign work You need rich text and images Progress matters Stable reference material
