Notion Synced Blocks
A synced block is content that appears in multiple places at once. Editing the content in one location updates it everywhere else automatically. This feature prevents the need to copy and paste the same information across several pages.
The Problem Synced Blocks Solve
Imagine a company policy that appears on ten different team pages. Without synced blocks, updating that policy means editing ten separate copies by hand. Missing even one copy leaves outdated information visible to part of the team.
Copy-Paste vs Synced Block
| Method | Update Effort | Risk of Outdated Copies |
|---|---|---|
| Copy-Paste | Edit every copy manually | High |
| Synced Block | Edit once | None |
Creating a Synced Block
Type a forward slash and select Synced Block from the menu. Add your content inside this block, such as text, a table, or a checklist. Copy this block and paste it onto other pages where you want the same content to appear.
How the Sync Works
Every pasted copy stays connected to the original block behind the scenes. A blue outline appears around a synced block when you hover over it, marking it as connected. Typing inside any copy instantly updates every other copy across the workspace.
One Source, Many Displays
| Original Block | Copy on Page A | Copy on Page B |
|---|---|---|
| Company Holiday Schedule | Same content, live | Same content, live |
Practical Example: A Shared Contact Card
Build a synced block containing your company's support email and phone number. Paste this block onto your homepage, your onboarding page, and your FAQ page. Updating the phone number once fixes it in all three places without hunting through each page separately.
Practical Example: Recurring Meeting Agenda
Create a synced block with a standard agenda template for weekly meetings. Paste it into each week's meeting notes page as a starting structure. Everyone editing any single copy adjusts the shared standard for future meetings too, so keep this use case limited to content meant to always match.
Breaking a Sync
Click the block options and choose Remove Sync to turn a copy into an independent block. This stops that specific copy from updating when the original changes. Use this when a page needs to branch off with its own version of the content.
