A workspace is your personal or team space inside Notion. It holds every page, database, and file you create. Setting it up correctly at the start saves confusion later and prevents a messy rebuild after months of use.

Creating a Workspace

Notion asks you to name your workspace during signup. You can pick a personal name or a company name. You can create additional workspaces later for different purposes, such as separating personal notes from work projects. Each workspace keeps its own pages, members, and billing plan completely separate from the others.

Choosing a Workspace Type

Notion offers a Personal workspace and a Team workspace. A Personal workspace fits solo use, such as journaling or study notes. A Team workspace fits groups who need shared pages and permissions. You can switch a Personal workspace into a Team workspace later by inviting members, so the choice is not permanent.

Setting Workspace Icon and Name

Click the workspace name at the top of the sidebar to rename it. Add an icon or emoji to identify it quickly. This step matters when you manage more than one workspace, since the icon becomes your visual cue when switching between them.

Inviting Members

Open the Settings menu to find the Members section. Enter an email address to send an invite. The invited person receives access based on the permission level you choose, such as Member, Guest, or Admin. Assigning the correct role at invite time avoids the need to fix permissions later.

Setting Up Teamspaces

Workspace Settings Worth Checking Early

Open Settings and Members to review default permissions for new invites. Open Security to check whether two-factor authentication is available on your plan. Reviewing these settings early prevents security gaps as the workspace grows.
