Notion Sharing
Sharing lets other people view or edit your Notion pages. You control exactly who gets access and what they can do. This feature turns a personal workspace into a collaborative one.
Share Button Location
Open any page and click the Share button in the top right corner. This opens a panel with sharing options. From here you invite people or generate a public link.
Inviting Specific People
Type an email address into the invite field inside the Share panel. Choose their permission level before sending the invite. The invited person receives a notification and gains access based on your choice.
Permission Levels for Shared Pages
| Level | Can View | Can Edit | Can Share Further |
|---|---|---|---|
| Full Access | Yes | Yes | Yes |
| Edit | Yes | Yes | No |
| Comment | Yes | No | No |
| View Only | Yes | No | No |
Publishing to the Web
Toggle Share to Web inside the Share panel to make a page public. Notion generates a public link anyone can open without a Notion account. This works well for portfolios, resumes, or public documentation.
Private Link vs Public Link
| Link Type | Who Can Open It |
|---|---|
| Private Share | Only invited people who log in |
| Public Web Link | Anyone with the link, no login needed |
Web Publishing Options
A published page offers extra toggles, such as allowing search engines to index it or allowing duplication by visitors. Turning off duplication stops readers from copying your page into their own workspace. Review each toggle before publishing content you consider sensitive or original work.
Sharing a Sub-Page vs a Parent Page
Sharing a parent page usually gives access to its sub-pages too. Sharing only a sub-page keeps the parent page private. Check the access scope before sending a link to avoid exposing extra content the recipient was never meant to see.
Custom Domains for Published Pages
Paid plans allow a published page to appear under a custom web address instead of the default Notion domain. This works well for a small business building a simple public-facing site. The custom domain requires a one-time setup through your domain provider.
Removing Access
Open the Share panel and find the person's name in the access list. Click their permission level and select Remove. This action revokes their access immediately, and they can no longer open the page even with the old link.
Sharing Safely
Avoid publishing pages that contain personal or sensitive data to the web. Review permission levels before inviting new members. Regularly check the Share panel to confirm only the right people have access, especially on pages that once held temporary collaborators.
