Notion Templates
A template is a pre-built page layout you can reuse. It saves you from building the same structure from scratch every time. Notion offers built-in templates and lets you build custom ones tailored to your own workflow.
Why Use Templates
Templates keep formatting consistent across similar pages. A student can reuse a class notes template for every subject. A manager can reuse a meeting notes template for every meeting. Consistency also makes it easier for teammates to find information, since every page follows the same familiar layout.
Time Saved Example
| Task | Without Template | With Template |
|---|---|---|
| Create a meeting page | Build layout each time | Click one button |
Using Built-in Templates
Open the Templates section in the sidebar to browse Notion's default options. Categories include Project Management, Personal, and Education. Click a template to preview it before adding it to your workspace. This preview lets you judge fit before committing to a full rebuild of your workspace around it.
Creating a Custom Template
Build a page with the layout you want to reuse. Include headings, tables, or checklists that fit your workflow. Save this page as your personal master copy. Store master templates in a dedicated Templates section of your sidebar so they stay easy to find later.
Template Button Inside a Database
Databases support a special feature called a Template Button. This button creates a new database entry with pre-filled blocks every time you click it. It works well for recurring entries like weekly reports, since the structure never needs rebuilding by hand.
Template Button Flow
| Step | Action |
|---|---|
| 1 | Click New from Template |
| 2 | Notion creates a new entry |
| 3 | Pre-filled blocks appear automatically |
Setting a Default Template
Open a database and click the dropdown arrow beside the New button. Choose Set as Default from the template options. Every new entry now uses this template automatically, removing the need to select it manually each time.
Duplicating Community Templates
Notion hosts a template gallery built by other users. You can duplicate a public template directly into your workspace. Review the layout after duplicating and remove sections you do not need, since public templates often include extra features built for a different use case.
Updating a Template
Edit your master template page whenever your workflow changes. Future copies created from that page reflect the update. Past copies you already made stay unchanged, so plan a manual review if a major structural change needs to reach older entries too.
