Notion Relations

A relation connects entries between two different databases. It links a task database to a project database, for example. This connection lets you see related information without duplicating data.

Why Relations Matter

Without relations, you would retype project details inside every task entry. A relation links a task directly to its project instead. Update the project once, and every linked task reflects that update immediately.

Creating a Relation Property

Add a new property and select Relation as the type. Choose the second database you want to connect. Notion adds a matching relation column inside that second database automatically, keeping both sides in sync from the start.

One-Way vs Two-Way Relations

A one-way relation shows the link in only the first database. A two-way relation shows the link in both databases at once. Two-way relations help you navigate back and forth between connected items without switching databases manually.

Linking Entries

Open a task entry and click the relation property field. Search for the project you want to link. Select it, and the connection appears instantly in both directions if two-way is enabled.

Self-Relations

A database can also relate to itself. A task database might use a self-relation to mark one task as a subtask of another. This structure builds a simple hierarchy inside a single database, useful for breaking large tasks into smaller steps.

Relations Across Three or More Databases

A more advanced setup links three databases together, such as Tasks, Projects, and Clients. A task relates to a project, and that project relates to a client. This chain lets you trace a single task all the way back to the client it ultimately serves.

Practical Example: Team Workload Tracking

Relate a Tasks database to a Team Members database through a Person-based relation. Open any team member's entry to see every task currently relating back to them. This gives a manager an instant workload view without building a separate tracking sheet.
